This Privacy Policy explains how MayoFlux, doing business as EventSimpler ("EventSimpler," "we," "us," or "our"), collects, uses, discloses, and otherwise processes personal information in connection with the EventSimpler website, invitation pages, RSVP pages, dashboards, messaging tools, and related services (collectively, the "Services").
This Privacy Policy applies to:
- people who create EventSimpler accounts or organize events through the Services ("Organizers" or "Hosts");
- people who receive invitations, visit invite or RSVP pages, or respond to events through the Services ("Guests" or "Invitees"); and
- visitors to our website and other users of the Services.
If you do not agree with this Privacy Policy, do not use the Services.
1. Key Points
- EventSimpler helps Hosts create invitations, manage guest lists, collect RSVPs, and send event-related communications through supported channels.
- We do not require Guests to create EventSimpler accounts merely to view an invitation or submit an RSVP.
- We do not sell personal information and we do not use Guest contact information for unrelated advertising or marketing by EventSimpler.
- We may use service providers for hosting, analytics, email delivery, text messaging, file storage, security, verification, and related operations.
- Hosts are responsible for the guest lists and event content they upload and for their own compliance with applicable laws governing their events and communications.
2. Our Role: EventSimpler and Hosts
In many cases, Hosts decide what guest information to upload, what event details to publish, what messages to send, and how long they want event records available in their dashboards. For event-related guest data that a Host uploads, imports, or directs us to process on the Host's behalf, EventSimpler generally acts as a service provider, processor, or similar vendor to that Host to the extent applicable law recognizes that role.
At the same time, EventSimpler may act as an independent controller, business, or similar legally responsible party for certain data we use for our own operational purposes, such as account administration, service security, abuse prevention, troubleshooting, analytics, legal compliance, product improvement, suppression lists, and enforcement of our Terms.
If you are a Guest and have questions about why you were invited to an event, what event-specific information a Host has about you, or whether you should be on a guest list, you should usually contact the Host first. We may direct certain requests to the relevant Host where appropriate.
3. Personal Information We Collect
The categories of personal information we collect depend on how you use the Services.
A. Information collected from Hosts
We may collect:
- name, email address, phone number, company or organization name, and account profile details;
- login credentials or authentication-related data;
- event details such as event titles, dates, locations, invite text, images, notes, custom questions, and branding;
- guest list information uploaded, entered, imported, or collected by the Host;
- message content and sending configuration;
- support requests, survey responses, or other communications with us;
- billing, plan, or transaction information if we introduce paid features later;
- verification-related information if we require account, email, phone, identity, or fraud-prevention checks.
B. Information collected from Guests and Invitees
We may collect:
- name, email address, phone number, RSVP status, attendance preferences, total guest counts, seating or response details, custom question responses, guest notes, and related event-response information;
- information a Host provides about you;
- information you submit directly when you respond to an invitation, update an RSVP, opt out, or communicate through an event workflow.
C. Automatically collected information
When you use the Services, visit invite pages, RSVP pages, dashboards, or our website, we may automatically collect:
- IP address;
- device identifiers and approximate location derived from IP address;
- browser type, operating system, device type, language, and referring URLs;
- pages viewed, features used, timestamps, clicks, opens, bounce events, delivery events, and other usage information;
- log data, diagnostics, crash data, performance data, and security signals;
- cookie IDs, local storage data, and similar identifiers.
D. Information from service providers and other sources
We may receive information from:
- hosting, analytics, email, text messaging, verification, security, and anti-fraud providers;
- account sign-in or authentication providers, if we support them;
- law enforcement, regulators, or other parties where necessary for legal or safety reasons;
- Hosts, Guests, or other users reporting abuse, complaints, or account issues.
4. How We Use Personal Information
We may use personal information to:
- provide, operate, maintain, secure, and support the Services;
- create and manage Host accounts;
- create, display, and host invitations, RSVP pages, dashboards, and event workflows;
- send or facilitate invitations, confirmations, reminders, RSVP updates, and other event-related communications at a Host's direction;
- verify accounts, combat fraud, detect abuse, protect deliverability, and enforce sending limits;
- respond to support requests and communicate with users;
- personalize and improve the Services, including product analytics, debugging, and feature development;
- enforce our Terms, investigate suspected misconduct, and protect rights, property, safety, and security;
- comply with legal obligations, respond to lawful requests, and preserve records where appropriate;
- maintain opt-out, suppression, complaint, or do-not-contact records;
- create aggregated or de-identified analytics or reporting that do not identify specific individuals.
5. Guest Communications
Hosts use EventSimpler to manage event communications. Guest contact information may be used to send:
- invitations;
- confirmations;
- reminders;
- RSVP updates;
- event-related logistical messages; and
- opt-out or unsubscribe handling.
EventSimpler does not use Guest contact information to add Guests to unrelated EventSimpler marketing lists. If we ever send our own marketing communications to Hosts, those communications will be directed to Hosts in connection with their relationship with EventSimpler and subject to applicable opt-out rights.
6. Cookies, Analytics, and Similar Technologies
We and our service providers may use cookies, pixels, local storage, log files, SDKs, and similar technologies to:
- keep users signed in;
- remember preferences;
- secure the Services;
- understand traffic and engagement;
- measure deliverability and performance;
- troubleshoot and improve the Services.
You may be able to control cookies through your browser or device settings. However, disabling certain technologies may affect functionality.
EventSimpler does not use personal information collected from Guests or website visitors for cross-context behavioral advertising or targeted advertising unrelated to the event workflow.
7. How We Disclose Personal Information
We may disclose personal information in the following circumstances:
A. To the relevant Host or Guest
Event-related information may be displayed to the Host, the relevant Guest, or other intended participants in the event workflow. For example, a Host may see who opened an invitation, who RSVP'd, or how a Guest responded to event questions. A Guest may see information that a Host chooses to display on an invite or RSVP page.
B. To service providers
We may disclose information to vendors and service providers that perform services for us or on our behalf, such as hosting, cloud storage, analytics, email delivery, text messaging, security, fraud prevention, file storage, customer support, and verification.
C. For legal, safety, and enforcement reasons
We may disclose information if we believe in good faith that doing so is necessary or appropriate to:
- comply with law, regulation, court order, subpoena, or other legal process;
- enforce our Terms or other rights;
- detect, investigate, prevent, or respond to fraud, abuse, illegal activity, threats, safety issues, or security incidents;
- protect the rights, property, safety, or security of EventSimpler, Hosts, Guests, users, service providers, or the public;
- report or address exploitative, harmful, explicit, or unlawful conduct.
D. Corporate transactions
We may disclose information in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, sale of company assets, or similar transaction, subject to customary confidentiality protections where appropriate.
E. With consent or at your direction
We may disclose information where you direct us to do so or otherwise consent.
8. No Sale of Personal Information; No Unrelated Advertising Use of Guest Data
EventSimpler does not sell personal information. EventSimpler does not share personal information for cross-context behavioral advertising. EventSimpler does not use Guest contact information for unrelated advertising or marketing campaigns by EventSimpler.
If our practices materially change in the future, we will update this Privacy Policy before using personal information in a materially different way, to the extent required by law.
9. Data Retention
We retain personal information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:
- operate Host dashboards and event workflows;
- provide records and functionality requested by Hosts;
- maintain backups and business continuity;
- resolve disputes and respond to support issues;
- enforce our Terms;
- comply with legal obligations; and
- maintain fraud-prevention, suppression-list, security, and abuse-prevention records.
Retention periods may vary depending on the nature of the information, the sensitivity of the data, the event workflow, legal requirements, whether an account remains active, and operational needs. We may retain limited information after deletion requests where necessary for legal compliance, security, abuse prevention, suppression lists, or backup recovery windows.
10. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. However, no system is perfectly secure, and we cannot guarantee absolute security. You are responsible for maintaining the confidentiality of your credentials and for using the Services in a way that does not expose unnecessary personal information.
Because some invite pages or RSVP pages may be accessible through shared links, Hosts should carefully consider what information they publish and should avoid including unnecessary confidential or sensitive personal information.
11. Children's Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information directly from children under 13 through child-created accounts or child-directed use of the Services.
If you believe that a child under 13 has provided personal information to us directly in a manner inconsistent with this Privacy Policy, contact us at hello@eventsimpler.com, and we will take appropriate steps.
Hosts should not use the Services to collect unnecessary personal information about minors. If a Host includes information relating to a minor guest in an event workflow, the Host is responsible for doing so lawfully and appropriately.
12. International Transfers
We may process and store information in the United States and in other countries where we or our service providers operate. Data protection laws in those jurisdictions may differ from the laws of your location. Where required by applicable law, we will take steps designed to provide an appropriate level of protection for transferred data.
13. Your Choices and Rights
Depending on where you live and how you interact with the Services, you may have rights regarding your personal information, which may include the right to request access, correction, deletion, portability, restriction, objection, or information about our data practices.
Hosts
Hosts can generally access, edit, or delete some account and event information from within the product or by contacting us at hello@eventsimpler.com.
Guests
If you are a Guest and want to update or delete event-specific information, opt out of future event communications, or ask why you were invited, you should usually contact the Host first because the Host controls the relevant guest list and event workflow. You may also use available unsubscribe or opt-out tools where provided.
General
You may also contact us at hello@eventsimpler.com to submit a rights request where applicable. We may need to verify your identity before responding. We may decline or limit requests where permitted by law, including where fulfilling the request would adversely affect others' rights, prevent us from meeting legal obligations, or interfere with security, fraud prevention, or suppression-list functions.
If we send marketing communications to Hosts, Hosts may opt out by using the unsubscribe link in those communications or contacting us.
14. Sensitive Information
The Services are not intended for the routine collection or processing of highly sensitive personal information. Unless EventSimpler expressly supports a category of sensitive data in writing, do not upload or submit Social Security numbers, government ID numbers, payment card information, bank credentials, medical information, biometric identifiers, or similarly sensitive information.
15. Third-Party Links and Services
The Services may contain links to third-party websites or rely on third-party services. We are not responsible for the privacy, security, or data practices of third parties. Their own policies and terms apply to their services.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the revised Privacy Policy and update the Effective Date. Your continued use of the Services after the effective date of the revised Privacy Policy constitutes acknowledgment of the updated Privacy Policy to the extent permitted by law.
